Service Terms


  • All Word Processing and Virtual Administrative Assistance Services are charged at an hourly rate of $25.
  • All Student Typing and Proofreading/Copy Editing Services are charged at a per page rate.  See website pages for pricing details.
  • All Transcription Services are charged at a rate per minute of audio.
  • There is a 1 hour minimum charge of $25 for all services.  Hourly services are charged $25 for the first hour.  After the first hour, time is charged in 15 minute increments. 
  • We offer monthly rates and discounts – refer to discount page for details.
  • Large projects may require a deposit before project begins. 
  • Additional charges apply for weekday rush services (1-2 days) $20 fee and weekend services (Saturday/Sunday) $25 fee. 
  • If you receive a finished document and are completely satisfied, but wish to change the document format, wording, or style; please note there will be a charge of $2.50 per page for this service.
  • Please note I take pride in my work and do my very best to provide clients with the highest quality service.  In the unlikely event there are any errors in a completed project, corrections will be made at no additional cost.
  • Free consultation is available.  Please feel free to contact me through the "contact page” or by e-mail: contactme@kaysvirtualoffice.com. I will respond to your inquiry within 24 hours.
  • Once you have decided what type of service you require, I will e-mail you a Project Request Form.  Please complete as much detail about your project and send it back to me.  I will return the form with a cost estimate within 24 hours.   Once we are both in agreement with the project requirements and payment terms, you may send me your draft and I will begin the project.
  • Please note the actual cost may vary and be less or more depending on the project.  If there are any problems with a project that will significantly increase the cost, I will contact you immediately before proceeding. 
  • If for any reason I am not able to complete the project due to unforeseen circumstances, you will be contacted immediately.  Deposits will be fully refunded.
  • Turnaround time and project completion deadlines will be determined before a project begins.
  • Please note that any additional charges incurred during a project such as:  postage, shipping costs, overnight courier deliveries, printing costs, copy costs, special stationary, or uploading fees are not included in the rates listed.  Any additional charges/fees will be discussed with client and agreed upon in advance before adding to client’s invoice.

Payment Accepted


Kay’s Virtual Office accepts the following forms of payment:  PayPal (preferred), Business Check, Personal Check, or Money Order. 
Please indicate how you wish to pay when completing your Project Request Form.  

Once a project has been completed and delivered, payment is due within three business days.  Clients will be sent an invoice from PayPal with the project description and total cost (less any deposit).  The invoice will include instructions on how to pay.  Clients will have the option to pay by credit card through PayPal or can mail their payment to Kay’s Virtual Office. 

 

Checks and/or Money Orders must be made payable to the name listed on the invoice.  There will be a fee of $25 charged for all returned checks.

Confidentiality

Kay’s Virtual Office understands the importance of client confidentiality.  Please note that ALL CLIENT INFORMATION as well as documentation and digital audio files will be protected and treated with utmost confidentiality and will never be shared with any outside parties.
